RECORDS MANAGEMENT ON SITE ASSISTANCE

The Records Retention Department offers on-site training and assistance in identifying records for retention and destruction utilizing the General Records Schedules provided by the Florida Department of State, State Library and Archives to all schools and departments. DISASTER RECOVERY

The Response time is critical in order to save records. You will need to do an initial assessment of the situation and develop a plan of action. Then notify the appropriate authorities and get clearance to enter the building or area to assess any safety issues. Make sure you have the appropriate supplies to stabilize the environment such as respirators, gloves, jumpsuits, boots and goggles. You should check for electrical or gas dangers, chemical and sewage contaminants and broken glass, metal and wood. Mold can form as soon as 48 hours in damp, warm conditions such as what we have in Florida.

Salvaging requires you to prioritize which records are most vital/valuable and remove those from the damaged area first. A good records inventory is the best way to know exactly what you have in your files or inventory stored. Vital records can be important to the operation of your agency and also vital to the students of our school district.

Rehabilitation of the records will depend on the type and severity of damage to the record. Records should be dried in a climate controlled environment with a temperature of 60-65 degrees and humidity at 40-50 percent as soon as possible, 48 hours at the longest.
